Return and Refund Policy
Last Updated: 09-08-2026
This Return and Refund Policy (“Policy”) explains how LeadHunt (“Company,” “we,” “us,” or “our”) handles refund requests, cancellations, and disputes related to our software development and lead generation services (“Services”). Because we provide professional services rather than physical goods, this Policy operates differently from a traditional product return policy — please read it alongside your Service Agreement or Statement of Work (“SOW”).
This Policy applies to all Clients who engage our Services, unless a signed SOW or Service Agreement expressly states otherwise, in which case the SOW terms will govern.
1. General Principle
Because our Services involve the allocation of skilled labor, time, and resources from the outset of an engagement, fees paid for work already performed or in progress are generally non-refundable. This Policy sets out the specific circumstances under which refunds, credits, or adjustments may apply.
2. Software Development Services
2.1 Deposits and Upfront Payments
Deposits or upfront payments required to begin a project reserve development resources and cover initial planning, discovery, and setup work. Deposits are non-refundable once work has commenced, except as described in Section 2.4.
2.2 Milestone-Based Projects
For projects billed by milestone:
- Fees for a milestone that has been completed and delivered are non-refundable once the Client has approved the deliverable or the deemed-acceptance period in the SOW has passed.
- If the Client cancels before a milestone is completed, the Client will be invoiced only for work-in-progress completed up to the cancellation date, calculated on a pro-rata or time-and-materials basis.
2.3 Time-and-Materials / Retainer Projects
Fees for hours already worked or retainer periods already commenced are non-refundable. Unused retainer hours may, at the Company’s discretion, be rolled over, credited toward future work, or refunded pro-rata, as specified in the SOW.
2.4 Non-Conformance and Corrections
If a delivered software Deliverable materially fails to meet the agreed specifications in the SOW:
- The Client must notify the Company in writing within the applicable Warranty Period (see the Terms and Conditions), describing the defect in reasonable detail.
- The Company will use commercially reasonable efforts to correct the defect at no additional cost within a reasonable timeframe.
- If the Company is unable to cure the material non-conformance after reasonable attempts, the Client may be entitled to a partial or full refund for the affected milestone or deliverable, at the Company’s discretion, reflecting the value of the non-conforming work.
Refunds under this section do not apply to: (a) issues arising from Client-provided specifications, content, or third-party integrations; (b) delays or defects caused by the Client’s failure to provide timely feedback, access, or materials; or (c) modifications made by the Client or a third party after delivery.
3. Lead Generation Services
3.1 No Guarantee of Business Outcomes
Because lead generation outcomes depend on market conditions, the Client’s sales process, and factors outside our control, we do not offer refunds based on the number of leads that convert into sales, unless a specific conversion guarantee is explicitly stated in the SOW.
3.2 Lead Quality Replacement
If leads delivered do not meet the qualification criteria explicitly defined in the SOW (e.g., industry, company size, job title, geography, contact validity), the Client may request replacement leads at no additional cost. Replacement requests must be submitted in writing within [7–14] days of receiving the lead batch, along with the specific reason the lead does not meet agreed criteria.
3.3 Refunds for Undelivered Lead Volume
For campaigns with a contracted minimum lead volume (e.g., “50 qualified leads per month”), if the Company fails to deliver the agreed volume within the campaign period through no fault of the Client, the Client may be entitled to:
- A credit toward the following month’s campaign, or
- A pro-rata refund for the shortfall, as specified in the SOW.
3.4 Campaign Setup and Ad Spend
Fees covering campaign setup, ad platform spend, list acquisition, or third-party tool costs already incurred at the time of a cancellation request are non-refundable, as these represent real costs paid to third parties or work already completed.
3.5 Retainer Cancellations
For ongoing monthly lead generation retainers, the Client may cancel future months with [30] days’ written notice. Fees for the current billing period, once the campaign has commenced, are non-refundable.
4. How to Request a Refund
To request a refund or credit, please contact us at contact@leadhunt.in.net with:
- Your name, company, and project/campaign reference
- The invoice number(s) related to the request
- A detailed explanation of the issue and the outcome you are seeking
- Any supporting documentation (e.g., correspondence, examples of non-conforming deliverables or leads)
We will acknowledge refund requests within [3–5] business days and aim to resolve them within [10–15] business days.
5. Approved Refunds
Where a refund is approved:
- Refunds will be issued to the original payment method used, unless otherwise agreed.
- Processing times depend on your payment provider or bank and may take [5–10] business days to reflect after we issue the refund.
- Refunds may be issued as a full refund, partial refund, or service credit, depending on the circumstances and at the Company’s discretion, unless otherwise required by the SOW or applicable law.
6. Chargebacks and Payment Disputes
We ask that Clients contact us directly to resolve billing concerns before initiating a chargeback with their bank or card provider. Unwarranted chargebacks for Services already delivered may result in suspension of ongoing Services and pursuit of the disputed amount through applicable legal channels.
7. Non-Refundable Items
The following are generally non-refundable, regardless of project outcome:
- Fees for work, hours, or milestones already completed and delivered
- Third-party costs already incurred on the Client’s behalf (e.g., software licenses, ad spend, data/list purchases, domain/hosting fees)
- Setup, onboarding, or discovery fees once work has begun
- Custom development work that has been approved by the Client
8. Exceptions
Nothing in this Policy limits any refund rights the Client may have under mandatory consumer protection or applicable local law that cannot be waived by agreement. Where such law conflicts with this Policy, the mandatory legal provisions will govern to the extent required.
9. Changes to This Policy
We may update this Policy from time to time. The version in effect at the time a Service Agreement or SOW is signed will govern that engagement, unless a subsequent update is required by law or otherwise agreed in writing.
